Receipts prove operational trust

Donors ask for receipts when they need clarity. Finance asks for receipts when it needs audit confidence. Development asks for receipts when it wants stewardship context. A receipt system disconnected from gifts creates unnecessary uncertainty.

Templates need structured data

Receipt templates should pull from donor, contact, organization, gift, fund, campaign, in-kind, stock, recurring, receipt ID, and year-to-date giving fields. If staff have to hand-edit receipts, the system is not doing enough.

Generated files should remain findable

A generated receipt PDF should not disappear into an email provider. Staff should be able to download it, resend it, void it, reissue it, and see who triggered each action.

Refunds and recurring gifts change receipt context

A receipt workflow should understand when a payment fails, when a gift is refunded, and when a recurring donor needs a different receipt cadence. Those states matter to donor support.

What to ask vendors

Ask vendors to generate a receipt, resend it, void it, reissue it, refund the gift, and open the contact record. The right CRM should preserve the whole history.
